October 2010 Meeting
Jim Frazier called the meeting to order and welcomed new members present, Jerry & Jordan Whitlow from Ararat, VA.
The Invocation was given by Jerry Whitlow
Darlene Bridges read the minutes from the previous meeting. There were 2 minor corrections made to them. Dan Mershon made a motion to accept with corrections, Sheryl Owen 2nd, motion passed.
Dan Mershon gave the Treasurer’s Report. There is $15,718.56 in the club account. That is a decrease of $2192.18 since the August Report. There was no income for the month. The expenses were as follows: Clippers for raffle-$378, Accountant for tax prep-$250,AMHR Youth donation-$500, AMHR Nationals video streaming support-$100, AMHA Youth donations $480, AMHA World video streaming support-$250
This is a decrease of $5704.46 from this same time last year. The following items attributed to this discrepancy: Performance Show loss-$1900, Mini Fair expense-$575, Misc Generic Ribbons-$800,EOY Award jackets-$800, Accountant for previous year’s tax returns-$1000, Tax exemption charges-$750. Laura Bodenheimer made a motion to accept as given, Trish Coffman 2nd, motion passed.
OLD BUSINESS
It is time to start accepting bids for our 18 month Calendar. It will run from July 2011 until December 2012. Darlene Bridges made a motion to have the minimum bid be $195. Sheryl Owen 2nd, motion passed.
This is a very important change in how we will showcase our wonderful sponsors. We will no longer be selling ads in a program AND a calendar. Most of our supporter do both at an average cost of approximately $380 if they did the minimum bid and got a single program page ad. The calendars will be given out at the shows with a class list insert instead of a program and at all venues ECMHC members participate. For as low as $195 our faithful supporters can have much more exposure throughout the 2011 & 2012 season!!!
The bids can be sent in now!!! 2 ways… Email your bid to Dan Mershon at dmersh01@windstream.net. If you email your bid you can pay via PayPal (tab found on ECMHC website home page) or mail your check to Dan. You can send your bid to Dan Mershon at2085 Gold Knob Rd Salisbury, NC 28146. The deadline for the bids and the money to be in as well, is January 15. In your bids you should put your 1st 2nd & 3rd choices. If we have a tie for any certain month the postmark for mailed bids or date and time of emailed bids will determine the winner of that month. The highest bid gets their first choice of month. The ARTWORK DEADLINE is February 15.
On another note; we will be accepting bids from Flanders Video and IEquine to webcast our Spring Fling show. The webcasting will be great exposure for our horses and sponsors as well.
Laura Bodemheimer will be getting the Raffle Tickets for Double K clippers printed at a local print shop. We will have 250 tickets for sale at $5 each or 3 for $10. We should have them for sale at the Spooktacular show. The drawing will be held Saturday at the April,2011 Spring Fling Show.
The Spooktacular show is set to happen Saturday October 30 at Piedmont Saddle Club in Colfax ,NC. Steve Osborn will be the announcer, David Porterfield will be the gate man, Craig Bodenhiemer will be the ring steward, Matt Drown will be the judge.
We still could use more class sponsors!
There is nothing new concerning the June 2011 Performance show.
New Business
Donated colt essay contest: Lynn Ezzell has found a school teacher that doesn’t know any of the participants in the essay contest to win the colt so graciously donated by Merry Black. The winner will be notified at the Spooktacular.
Lori Osborn and Patty Nienast will head up an ECMHC Youth Committee to promote the youth of our club. If anyone would like to help with this contact them at: osborn7664@belsouth.net , and neinast@carolina.rr.com.
It's time to nominate candidates for our ECMHC Officers for 2011! You may nominate individuals for the offices of President, Vice President, Treasurer,and Secretary. Please make sure the names you submit are willing to be considered for the position nominated. The nominations can be sent via email to blueblazes@windstream.net or blazen2@msn.com before the next meeting. That meeting will be the November/December meeting as well as our Club Christmas gathering. The floor will be open for nominations at the meeting as well, up until the actual vote. Only members present will be allowed to vote as our By Laws do not permit proxy voting.
The 2 dates that we are considering for the Christmas party are November 20 or December 11 at 4:30. Most likely we will have a potluck dinner with the club providing the main meat dish. Remember we will also play the dirty Santa game so bring a present to exchange and play!!
