Minutes of the ECMHC Meeting March 22, 2014
Thank you so much to Katie Wilkins, Greg Raynor and Katie’s family for allowing us to visit their farm. It was a beautiful day and we had over 50 people in attendance. Also thank you to all members who brought the extras to make it a complete meal.
Meeting was called to order by Pres Darlene Bridges who then gave our invocation and blessed the food.
Karen Hunter read the minutes from the Jan 11, 2014 meeting. A motion was made by Amber Carter to approve the minutes as read. A second was made by Fran Daisy, all in favor, motion passed.
Dan Mershon gave a treasures report for the period of Jan 10, 2014 until March 21, 2014. There is a decrease of $6040.80.
Major expenses were:
$1200 for the Farm Ad in MHW
$756 for Farm Ad in The Journal
$635 for Liability insurance (yearly)
$2187 for Spring Fling Ribbons and Awards
$2048 for printing of the Club Book
$1000 for deposit on Summer Classic Facility
$2214 Show management expenses for SF/SC
Major income since last report
$1440 from 2014 Farm Ads
$925 from membership renewals and new members
$3500 payments for ads in Club Book
A motion was made by Cyndy Enke to accept the treasurers report, a second was made by Tara Needham, all in favor, motion passed.
Old Business:
Darlene has talked with the food vendor at the Williamston facility about supplying the club with the food for the exhibitors party on Friday night, April 18, 2014. He has agreed to serve Lasagna (both meat and veggie), a salad and Iced Tea. This will take the place of the usual Pizza Party we normally have and will also allow us to use the inside tables without causing an issue with the food vendor.
The next item was the Club Book, which we gave out at the meeting. It is 40 pages in hardcopy form as well as a link to view the book online. This was a serve added with the help of Kelly Roe. The added bonus is when you click on an advertisers page, it will take you to their website. We will be giving these out at shows and other events. The link will be posted on the club website and we encourage everyone to share the link.
New Business:
Darlene put two Bylaw changes to the members present at this meeting to forward to the next meeting for a vote.
First change is the addition of a Bylaw for Non Payment Policy.
Members (changed to Debtors) owing more than $100 beyond 90 days, to EMCHC, will be reported to the applicable association (AMHR or AMHA) for disciplinary action. Exceptions may be made if “arrangements” are made with, and approved by, the EMCHC Executive Committee, to remit what is owed. If arrangements are NOT made, the person or farm owing the debt will not be allowed to do ANY business with EMCHC, which includes shows and/or showing.
Motion was made by Russ Roberts with a second by Trudy Mershon. Discussion took place as to the reason for needing this bylaw. We need to protect ourselves from any person who owes the club money but doesn’t pay. We need recourse in the event of this happening. While we hope we don’t, the club needs a plan. Concern was made about people that owe money but are not members, so the word Members was changed to Debtors. With the change, Russ Roberts amended his motion and Trudy Mershon again seconded, all in favor, motion passed to take the final bylaw change to the next meeting for a final vote.
Second bylaw change,
This started as just a housekeeping issue but with some of the changes it now needs to be a bylaw change and sent to the next meeting for a membership vote.
Article IX – Horse Shows
Current bylaw-
All ECMHC, Inc. Club Shows shall be sponsored and sanctioned by AMHR and also may be sanctioned by AMHA, AMHR, and WCMHR. No other shows shall be sanctioned except by the special permission of the majority of the voting members at a regular meeting.
All ECMHC, Inc. shows shall be judged under the current AMHR Show Rules.
Show fees shall be set by the majority of the voting members at the meeting, except for all Junior Members, who are in good standing.
Changes to bylaw –
All ECMHC, Inc. Club Shows shall be may be sanctioned and sponsored by AMHR and also may be sanctioned by AMHA (added back) WCMHR. AMHR and WCMHR. No Other shows shall be sanctioned except by the special permission of the majority of the voting members at a regular meeting.
The rest of the bylaw will stay the same.
Motion was made by Amber Carter with a second by Judy Roberts. Discussion continued about leaving out WCMHR, so the we added WCMHR back into the bylaw. With the change, Amber Carter amended her motion with a second again by Judy Roberts. All in favor, motion passed to take the amended bylaw to the next meeting for a membership vote.
Darlene introduced the new AMHA Stock Type Halter division and explained that the classes will be added to the AMHA World Show in 2014 but that local shows could add a minimum of 6 to their shows as well, they will be non rated shows. Horses are to be showing in a western style halter only and at the local level you will be allowed to cross enter into other halter classes. This is for AMHA only.
With no other business, Judy Roberts made a motion to adjourn and Trudy Mershon seconded the motion. All in favor, motion passed and we adjourned to a wonderful afternoon of great weather and equally great food.

Silver Sponsor - $200 Gives a half page ad, 5 class sponsorships in both shows.
Bronze Sponsor - $175 Gives half page ad and 5 class sponsorships in one show.
Reserve your spot now, pay ¼ down at the time of reservation for spot. The Second payment due by May 1st, Third payment due by July 1 and final payment due by Nov 1st. If paying by paypal please add $.50 per transaction to cover paypal fees.
Example: Reserve spot for $250 ad on March 24 pay $62.50. On May 1st pay $62.50, July 1st $62.50 and Nov 1st 62.50. Nov 1st would make it paid in full.
