The March 11, 2017 meeting of the East Coast Miniature Horse Club was called to order by Pres Karen Hunter at 12:30 pm. The meeting was held at Holt’s Seafood & Bar B Que in Smithfield, NC.
The minutes for the Aug 20, 2016 meeting were read by Pres Karen Hunter. A motion to accept the minutes as read was made by Randy Jane Crosier with a second from Pam Adams. All in favor, motion passed.
The minutes for the Dec 10, 2016 meeting were also read by Pres Karen Hunter. A motion to accept the minutes as read was made by Edie Tyndall with a second by Randy Jane Crosier. All in favor, motion passed.
The Treasurers report was read by Dan Mershon. The club has a current balance of $3717.35. The major expenses since the last report are as follows:
$685 2017 club Liability Insurance
$1400 Deposit on Williamston facility for Spring Fling
$515 for jackets & totes for the 2016 Year End Awards
Income from last statement is $945 for club memberships.
Motion was made to accept the Treasurers Report as read by Randy Jan Crosier with a second by Cindy Wheaton. All in favor, motion passed. If anyone would like a copy of the report, they can contact Dan Mershon for that.
Old Business:
We are starting to receive entries for Spring Fling, Dan will get a copy of the members list to Laura so she can make sure anyone asking for the flat fee is a current member. Laura has been getting calls about the show and how to become a member, so it looks like doing the flat fee will help bring in the money from new members. She has also added the Foundation Halter classes and was asked if we could add a couple of COOL classes. Since we don’t have to have approval for non rated classes, she add the COOL Showmanship 38& under and COOL Halter 38& under. With using show bucks, I think there will be plenty of ribbons to give for those classes.
The question came up about the deposit on the Lake Waccamaw Facility and as far as we know, we still have the option of using that place with that deposit. Several asked about doing a clinic like we did in Madison in 2016 or doing a fun show. Karen Hunter will put a survey out asking members what they would like to do with this and when. We know the only fall dates are really just one weekend in Oct. There are dates in Nov but weather might be a concern. The other dates open are in June and July but we already have a show in June. So the survey will be to find out what and when. Look for it with our regular mass email soon.
We talked about ways to raise money and one thing that came up was having a pig picking at Spring Fling. Pam Adams will be checking on getting it set up. We will also talk to Cheryl Powell about how they set it up at their fire dept for there fund raiser. Dee Pellegrino offered to bring buns if we proceed with this idea. We would possibly have hot dogs as well since some might not eat BarBQue. Dan will check with the facility to make sure this is something we can do outside, behind one of the barns during the show.
Cindy Wheaton brought a slow feeder hay bag that she made for the silent auction.
The Summer Classic is now approved and the show bills are online.

We discussed the Year End Awards and what people would like to receive. WE have done jackets for the last two years and we would like to do something that could be ready for the awards dinner in 2017. Edie Tyndall is going to be checking on different items to get cost and how usable, ie..chairs, coolers etc.
With no other business, a motion was made by Cindy Wheaton to adjourn the meeting. Dan Mershon seconded the motion, all in favor, motion passed.
We enjoyed the meal at Holt’s again and it was great to see everyone that came, we thank you for taking time out of your weekend to help support the club.
If anyone has items for the silent auction, please let me know so we can make sure we have plenty of tables. We will take anything that you would like to donate. If you are going to the show, you can bring it then or you can contact one of the board members to get an item transported.
